πŸš€ Getting Started with Vendor Management

How to Create or Edit a Vendor

  1. Access Settings: Click the Settings icon βš™οΈ in the top-right corner of ClientBAY.

  2. Open Vendors: Under the Miscellaneous section, click the Vendor button and select the Vendors tab.

  3. Choose your action:

    • To Add: Click the + New icon  in the top-right corner.

    • To Edit: Use the Filter tab  to find an existing vendor, then click the three-dot action button to the right of their name.


πŸ“ Vendor Configuration Details

The vendor profile is divided into several key sections. Fill these out to ensure accurate lead routing and website display.

🏒 Core Information

  • Vendor Name: The official name of the company.

  • Type & Status: Categorize the vendor and ensure the status is set to Active βœ….

  • Website Display: Toggle this "On" if you want this vendor to appear on your public-facing website.

  • Website URL: Enter their full web address.

πŸ“ž Contact & Location

  • Contact Details: Enter the primary point of contact’s name, phone, cell, and email address.

  • Physical Address: Provide the street, city, state, and zip code for the vendor's main office.

πŸ” Integration & Logistics

  • Login Info: Store the specific User ID and Password associated with this vendor account.

  • Offices: Check the boxes for all office locations that this vendor services πŸ“.

  • Categories: Tag the vendor with descriptive service categories (e.g., "Home Inspection," "Landscaping").

  • Description: Write a brief summary of their services to display on your site.

πŸ’° Accounting (Financial BAY Users)

Note: This section is only required if you use Financial BAY or the QuickBooks (QB) Export.

  • Software Name: The name of your accounting platform.

  • Software ID: The specific integration ID for tracking.


πŸ”— Advanced: Lead Notifications

If you want a vendor to be automatically notified when a specific lead arrives, you must link them within the Lead Sources section.
