ADMIN: Lead Management

πŸ“₯ Lead Management Overview

As an Admin, you have access to the Lead Management tab on the left-hand navigation menu. This area is divided into two primary sections to help you monitor and distribute leads across your brokerage.

AlertπŸ”’ PLEASE NOTE: Your agents do not have access to this area of ClientBAY; it is for Admin and Staff use only.


πŸ“Š The Dashboard Tab

The Dashboard provides a high-level overview of lead activity.

  • Overview: See all incoming leads and identify which agents are responding.

  • Distribution: View who is next in line for lead distribution in each category.

  • Insights: Perfect for a quick pulse-check on your brokerage's lead flow.


πŸ•΅οΈ The Leads Tab

The Leads tab is for deep-diving into individual lead data and performing administrative actions.

  • Filtering: Use the collapsible filter  to sort leads by source, status, agent, and more.

  • Tracking: View lead status, assigned agents, and lead sources at a glance.

  • CRM Access: Click any lead in the list to go directly into their CRM entry.


βž• How to Manually Add a Lead (Walk-Ins or Phone Calls)

  1. On the Leads tab, select the + New βž• button in the upper right corner.

  2. Select the Lead Source and choose which Agent the lead is being routed to.

  3. Enter the contact information for the lead.

  4. Press Save πŸ’Ύ.

    • The lead will flow to the agent’s CRM.

    • The agent will be notified immediately. πŸ””

    • The lead will now appear on your Leads Dashboard.


πŸ”„ Managing and Reassigning Leads

You can perform actions like reassigning leads or returning them to the broker by selecting the three-dot action button next to any lead.

How to Reassign a Lead
  1. Select Reassign from the three-dot action button.

  2. Route To: Choose to route the lead to a specific User, an Office, or a Group.

  3. Method: Choose to send it to a single person or multiple people at once (first person to accept wins). 

  4. Acceptance Rules: Set a time limit for the agent to accept the lead (pulls from your source rules).

  5. Ownership: Decide if the original agent should retain ownership or not.

  6. Notes: Use the notes section on the right to provide the new agent with context. 

  7. Press Save πŸ’Ύ at the bottom of the screen.


πŸ› οΈ Bulk Actions

Save time by managing multiple leads at once using the checkboxes on the left side of the screen.

  • πŸ”„ Bulk Reassign: Use filters to find your leads, check the boxes to select all, scroll to the bottom, and select Reassign. Follow the reassignment steps above.

  • πŸ“£ Bulk Add to Campaign: Filter and select your leads, scroll to the bottom, and select Campaign. Choose the specific campaigns you wish to enroll them in.
