Lead Management

As Admin, you have access to a Lead Management Tab on the left hand side navigation menu. When you select that, it will take you to a screen where you can either select Dashboard, or Leads along the top. Both tabs allow you as admin to see certain items in regards to Lead Management for your brokerage.


The first tab is the Dashboard. This dashboard will show an overview of all the leads that are coming into the system as well as who is responding to these leads. This is also where you can see who is up in each category for the upcoming lead distribution. This is great for a high level overview of the leads in your system

The second tab is titled Leads and here is where you can really deep dive into the leads that are coming into the system as well as add leads manually to the system. You will also have a collapsible filter feature on this screen really allowing you to sort through your leads by source, status, agent and more. You will be able to see the status of a lead, who the agent who has been assigned to a lead, where that lead is coming from and more on this page. You can even select the lead from the list and go into that Lead's CRM entry.


To add a new lead like a Walk-In or Phone Call, select the +New button in the upper right hand corner. Select the Lead Source, which Agent this is being routed to and put in the contact information of the lead. Once this screen is filled out, press the Save button and this will then create the lead. The lead will then flow to your agent’s CRM, the system will notify the Agent of the newly created lead, and will also show on your Leads dashboard.

On the Leads tab, you will also be able to do things such as reassign leads, change the status of a lead, return the lead to the broker and much more by selecting the three dot action button associated with that individual lead.  

To Reassign a Lead select the three dot action button associated with that lead and select Reassign.
This will pop open a screen where you can choose who to route the lead to - a user, an office or a group - which you will be able to select below. You can chose the route method - single of to multiple people at one time. Whomever accepts the lead first will be the agent who gets the lead assigned to them. You have the ability to have an acceptance rule on the lead giving the agent or agent(s) that you reassign the lead to a general acceptance period of the lead (this will pull from the general acceptance period that you have set up in this lead source's rules). You will even be able to notate if the original agent should retain ownership or not of the lead. 
There is a note section on the right hand side of this screen that can provide the agent that you are reassigning this lead to insight on what is going on with this lead. 
Once you have this page filled out, press the Save button at the bottom of the screen and that lead will then be reassigned based on the rules you just designated.

TO BULK reassign leads - use the filter function to bring up the leads that need to be reassigned. Select the box on the left side of the screen that will select all the leads on the page. Scroll down to the bottom of the screen and select Reassign and follow the steps above.

TO BULK add Leads to a Campaign - use the filter function to bring up the leads that you want to add to a campaign. Select the box on the left side of the screen that will select all the leads on the page. Scroll down to the bottom of the screen and select Campaign. You will then be able to select the Campaigns you wish to add the selected Leads to.
