Access Groups
As Admin, you have the ability to add and edit Access Groups.
To do so, select your Settings icon in the upper right hand corner of ClientBAY. Once your Admin Settings Dashboard loads, select Access Groups under the Company section. This will open up a dashboard where you can see all of the Access Groups within the system.
To add an Access Group, press the New button in the upper right hand corner. Name the Access Group and give it a description if needed. You are able to use the default values of another Access Group and then press Next. Then you will be able to designate what the new Access Group has the ability to do in the system. Press Save in the upper right hand corner when done.
Each section within the Access Group Settings refers to a different section of ClientBAY:
- Access Groups: can they see the admin tab and view/create/update or delete access groups?
- Action Plans: can they view/create/update/delete/view history of action plans under the tools/preferences tab
- Agents: can they access other agents information and what information in their agent profile can they edit
- Agent Fees: can they view/create/update/delete agent fees
- Campaigns: what can they do to their own campaigns and company campaigns.
- Content: what can they do to their own content and company content
- Contacts/Leads: can they view or create leads for other agents, can they change status of leads/reassign leads/ change lead owners
- eSign: what can they do to their own eSign and company eSign templates
- Lead Sources: can they view or edit company lead sources
- Listings: what can the do to their own content and company listings. Please do not enable deleting or creating as this can lead to potential issues with feeds
- Mail: messaging access
- MLS Agents: can they create/edit agents from other offices under the User Management tab
- MLS Offices: what can they see and edit for outside offices
- Offices: what information can they see and edit for offices
- Showing itineraries: what information can they edit for their listings and company listings for showing information
- Showing requests: what information can they access for their listings and the company listings for setting showings.
- Status Codes: what information can they see/edit for company status codes
- Surveys: what information can they access/edit for their surveys, other agents surveys, and company surveys
- Transactions: what information can they view/create/update/delete in the Financial tab
- Vendors: are they able to view/create/update vendors. Be careful with access to this as many people will enter duplicate vendors using short hand and you can end up with duplicate entries for single vendors
