As an Admin, you can create and edit Access Groups to define exactly what different members of your team can see and do within ClientBAY.
Select the Settings icon ⚙️ in the upper right-hand corner.
Select Access Groups under the Company section.
Press the New button ➕ in the upper right-hand corner.
Name the Group and provide a Description if needed.
Set Defaults: You can choose to use the default values of an existing group as a starting point.
Press Next to designate specific permissions.
Press Save 💾 in the upper right-hand corner when finished.
Each section within the Access Group settings controls a specific part of the ClientBAY system:
Access Groups: Ability to view, create, or delete other access groups.
Action Plans: Control over viewing, creating, or deleting action plans and history.
Agents: Access to other agents' information and the ability to edit profiles. 👤
Agent Fees: Permissions for managing agent fee structures. 💸
Campaigns & Content: Controls for personal vs. company-wide marketing materials. 📧
Contacts/Leads: Permissions to view, create, reassign, or change the status of leads.
eSign: Access to personal and company-wide eSign templates. ✍️
Lead Sources: Ability to view or edit company-level lead sources.
Listings: Control over company listings. 🚩 Note: Avoid enabling "delete" or "create" here to prevent issues with automated data feeds.
Mail: Messaging and communication access. 📩
MLS Agents/Offices: Ability to see or edit agents and offices outside your own.
Offices: Control over viewing or editing office-level details. 🏢
Showings: Management of showing itineraries and requests for company listings.
Status Codes: Permission to see or edit company lead status codes. 🚦
Surveys: Access to personal, agent-level, or company-wide surveys.
Transactions: Permissions to view or manage data in the Financial tab. 💰
Vendors: Ability to manage vendor lists. 🚩 Note: Restrict this carefully to avoid duplicate entries.
To Edit: Select the three-dot Action button and choose Edit to adjust existing permissions.
To Delete: Select the three-dot Action button and choose Delete.
🚩 IMPORTANT NOTE: You cannot delete an Access Group if there are currently users assigned to it. You must reassign those users to a different group first.
