Listing Action Plans provide agents with a step-by-step roadmap for every new listing—from automated "Thank You" emails to reminders for ordering yard signs. 📋🚀
Select the Settings icon ⚙️ in the upper right-hand corner of ClientBAY.
Select Company-wide Action Plans under the General section. This opens your Action Plan Dashboard.
Select + New ➕ in the upper right-hand corner.
Name the Action Plan (i.e., New Listing Action Plan) and select Listings under the Action Plan Type dropdown menu.
Press Save. This takes you to the individual Action Plan’s dashboard where you can start adding items.
To add your first item, select the + button in the upper right of the Tasks box. You can choose from several different Task Types:
When this task is added, an email will be sent out automatically based on these settings:
Task Name: Internal name for you and the agents.
Subject: The email subject line the recipient will see.
Due After: Tell the system WHEN to send. 0 is immediate. Use the Send After (Minutes) dropdown as a "grace period" to ensure the agent has the seller attached first.
Repeat: Choose if you want the email to send in a repeated fashion.
Email CC and BCC: Indicate if others should receive a copy.
Content: Select the Magnifying Glass 🔍 to pick an email from your Content Library.
Send To: Select Listing Agent, second Listing Agent, or Seller. (Note: The seller must be attached to the listing for this to work).
Visible to Seller: Select Yes if you want this task visible in the Seller Portal. 🌐
The agent will receive reminders to manually complete this task:
Task Name: Internal name for the task.
Description: Give the agent more information if needed.
Due After: When you want the agent to complete the task.
Notify Prior (Days): Choose when the agent gets a reminder. Select Same Day or a specific number of days before it is due.
Required: If set to Yes, the agent cannot edit or delete this task when they add the plan to their listing. 🚩
Automatically attach campaigns to the seller:
Due After: When you want the campaign to attach.
Campaign: Choose the campaign from your list. (Note: Seller must be attached to the listing).
Automatically send surveys created in the system:
Send Survey To: Choose the recipient.
Survey: Select the specific survey you would like to send. ✅
(Order marketing Materials, Social Share, Add Seller, Seller Reports, Showing Preferences, Website URL, Video Tour, Virtual Tour)
Name your item and choose the number of days until it is due.
If Required is selected, the agent cannot snooze or dismiss the item without completing it.
You can easily manage your tasks using the three-dot action button to the right of each task:
Edit: Populates the task box to make changes.
Delete: Removes the task (you will have to re-add it if deleted by mistake).
Duplicate: Copies the task within the same Action Plan for quick setup.
Once you have added all the tasks you would like, click on Save 💾 in the upper right-hand corner.
