While your listings sync automatically from the MLS, ClientBAY allows you to customize and enhance them to stand out. Follow this guide to manage your media, engage your sellers, and organize your workflow.
To edit a listing, follow these steps to reach the Listing Details screen:
From your main Home dashboard, click Listings.
If your dashboard is divided, select the My Listings tab.
Click directly on the property name, or click the three-dot action button and select Edit.
Linking a seller is the first step to providing transparency.
On the Listing Details tab, scroll to the Contact Information section.
Input the seller's name in the Seller field (this pulls directly from your CRM).
Keep a private log of property details (gate codes, seller requests, or listing history).
On the Listing Details tab, scroll to the Notes section on the right.
Enter your text and click Save.
Note: These are for your internal use only and are timestamped for your records.
You can override or supplement the automated MLS photo feed.
Rearrange: Click, drag, and drop images on the right side of the screen to set your preferred order.
Add Photos: Click Upload to add professional photography directly from your computer.
Delete: Use the trash icon on individual photos or bulk-select images and click Delete at the bottom.
🚨 Important: Saving changes here will prompt you to disable the automatic image feed. This ensures the MLS does not overwrite your custom photo order during the next sync.
The map location affects how your property appears on your agent website and the Single Property Website.
Click the Map tab at the top of the edit screen.
If the pin is incorrect, click, drag, and drop it to the exact location.
Click Save.
Tags act as keywords, making it easier for website visitors to find specific types of properties.
Locate the Tags section on the left side of the Details page.
Select up to three tags (e.g., Waterfront, Luxury, New Construction).
Click Save.
To remove a tag, simply uncheck it and save again.
Use the Actions tab at the top of the screen to manage your "to-do" list.
Individual Actions: Click +NEW to create a specific task. You can assign due dates, set notifications, and choose to make the task visible to the seller in their portal.
Action Plans: On the right-hand side, click +ADD to apply a pre-made template of tasks to the listing.
Schedule In-Person, Recorded Video, or Live Stream events.
These sync directly to your property websites and generate a digital lead-capture sign-in sheet.
