You are able to set up a property watch for your clients through your Back At You ClientBAY account. The benefit of doing it through our system versus through MLS is that you can see a collection of the client's actions in one place. We keep track of how your clients are interacting with your website and the properties they like!
To set up a Property Watch
- Go to Contacts on your left hand side menu.
- Select the contact you would like to set up a property watch for. This will open the Contact's details
- Go to the Listings tab. Here you will see the Property Watch Widget.

* If you have not created a My Portal account yet, you can easily click to create a portal account for your contact. This enables your customer to login to your website and create their own searches, edit your searches, or save and view properties.
- Click the blue button to Activate Portal Account button
- Chose a Username for your Contact to login to their portal with. You can also select a box to make their email address their username.
- Choose if you would like the welcome email with the login information sent to the client. The system will auto-generate a password.
- Click Activate to create their Portal Account.
Once you have created the portal, you can set up a property watch for the client. You will see a blue Create New Search button. Click to begin.
- To start, name your watch in a way that is descriptive. This is something that is visible to the seller so be sure to name it in a way that is beneficial to your relationship.
- Choose if you want email updates sent to your client. If you choose to send email updates to your client, you will then get to choose if you want those emails to be on status changes, reduced prices, open houses, or any combination of the three sent. Click on the button to Select or De-select options.
- Then Click Next at the bottom right of your screen
- The next screen is where you can set up the criteria for the properties in this property watch. Utilize the Type, Style, Size, Locations, and More drop down menus to help narrow down the property search.
- Under the Locations section when setting up the Property Watch criteria, you will be able to select a location from a map or from a list.
- You must filter the listings down to LESS THAN 100. You know how many are in your search by the gauge in the lower corner.
- Once you have selected all of your criteria, click Next. This will take you to the send properties screen.
- Select OFF any properties that you do not want to email to the client. Then select Next. This will then take you to the Property Watch Email screen.
- Select if you want ClientBAY to send the "Properties Found For You" email or not and then hit Finish and Create.
Once the watch is created you will see the watch displayed in the Property Watch section under the Listings tab in the Contact or Lead's CRM Entry.
To add additional watches to a client, click on the + Create New Search in the upper right corner of the property watch tab.
To edit any property watches, simply select the three dot action button associated with that Property Watch and select Edit.
To see what Listings your Contact or Lead is Saving from their Property Watch, simply scroll down to the Saved Listings widget located below the Property Watch widget. Here you will be able to see any listings that they are in a sense "favoriting" in their Property Watch(es). You will also have the ability to Save any Listings here as well for your client by selecting the Add a Saved Listing button and then entering in that property address. This will then save the listing as a Saved Listing in both their CRM entry AND in their portal account Property Watch.
