If you have a large database, manually merging duplicates can be time-consuming. The Purge Tool is a powerful way to clean up your CRM by identifying and removing duplicate records in bulk. 🧹✨
Open the Purge Tool: From your CRM Dashboard, click the More Actions dropdown menu in the upper right-hand corner and select Purge.
Choose Your Purge Method: The walkthrough will ask how you want to identify duplicates:
Purge by Contact Type: Targets specific categories of contacts.
Contacts with Duplicate Email Addresses: Identifies multiple records sharing the same email.
Select Your Contacts: After clicking Next, the system will display all identified duplicates. Check the boxes next to the individual contacts you wish to remove.
Review Carefully: Click Next. The system will show a summary of what is about to be deleted.
Confirm & Execute: Verify that everything is correct.
⚠️ IMPORTANT: Once you click Next on this screen, the process cannot be reversed. The selected contacts will be permanently deleted from your CRM.
Finalize: The system will then purge the records and update your CRM list.
Unlike merging—which combines two records into one—Purging is a permanent deletion. Ensure you have reviewed the list carefully before confirming, as the data cannot be recovered once the process is complete.
Run a purge by "Duplicate Email Addresses" at least once a quarter. This ensures that when you send out mass email marketing or drip campaigns, your clients aren't receiving multiple copies of the same message! 📩
