Open House Opportunities

Creating an Open House Opportunity

If you have a listing and are looking for another agent within your Company to hold an Open House for that listing - you can easily utilize the Open House Opportunity tool in ClientBAY to help find an agent to do so. 

To enter in an Open House Opportunity, go to your Listings tab and select Open Houses. This will open up the Company Open House Dashboard. 
Along the top you will see three tabs: All Open Houses, Scheduled, and Opportunities 
Select the Opportunities Tab.
In the upper right-hand corner, select the +Opportunity Button. 

Select which one of your listings you want to create an opportunity for by selecting the checkmark next to that listing. On the next screen, fill in the Open House details:
  1. Held By: Select Create as Open House Opportunity
  2. Date: Fill in the date of the Open House
  3. Start: When is the Open House starting
  4. End: When does the Open House end
If you need to add multiple open house dates and times, no problem! Just select the Add Another Open House button!
When you are done entering your Open House Opportunity, press the Finish button.
This Open House Opportunity will then show on the Opportunity tab of the Open House Dashboard so agents looking for a listing to hold open will be able to see it.
If you need to Edit your Open House Opportunity - simply select the three dot action button next to that opportunity and select Edit.



When another Agent signs up to hold that listing open for you - you will receive an email letting you know.


Signing Up for an Open House Opportunity

If you are an agent who would like to get more exposure and are looking for a listing to hold open, you can utilize the Open House Opportunity feature in ClientBAY.

To find an Open House Opportunity, go to your Listings tab and select Open Houses. This will open up the Company Open House Dashboard. 
Along the top you will see three tabs: All Open Houses, Scheduled, and Opportunities 
Click on the Opportunities Tab.
If there are any Open House Opportunities created by listing agents, you will see them here.

To sign up for an Open House Opportunity, select the three-dot Action button associated with that Opportunity and select Hold Open. The system will pop open a window asking if you are sure that you want to hold that house on the selected day open. To continue with claiming this Open House Opportunity, select Hold.

The listing agent will then be notified via email that you are holding their listing open.

You will also see that Open House appear on the All Open House tab on the Open House Dashboard. You will see yourself as the agent holding that Open House. 
From this screen, you can utilize the three-dot Action button for that Open House. You can Print a Flyer for that Open House, Email the Listing Agent and access the Open House Sign in Page.
