Welcome to the new and improved e-Sign experience! This guide will help you navigate the transition from our old (legacy) system to the new one, walk you through creating your first document packet, and answer common questions about managing your signers and files.
During our upgrade period, both the old and new e-Sign systems will run side-by-side.
Right Now: Your older packets remain fully available in the legacy e-Sign area. New packets will be created in the new e-Sign area.
In the Future: Once the transition is completely finished, your old packets (with statuses of Expired, Declined, Completed, or Void) will move automatically into the new e-Sign area. They will be marked with a gray Legacy badge and will be available as read-only documents.
Your completed legacy e-sign packets will be safely stored and remain accessible to you indefinitely.
A packet can only be edited within the system where it was originally made.
Drafts: You can edit drafts of old packets in the legacy system, and drafts of new packets in the new system.
Sent/Completed: Once any packet is sent or completed, it can no longer be edited, regardless of which system it lives in.
Creating a packet is easy with our new 5-step guided setup:
Go to the e-Sign page and click +Create Packet.
Complete the 5-Step Wizard:
Step 1: Setup – Name your packet and decide if you want to attach a transaction.
Step 2: Recipients – Add the people who need to sign or receive copies.
Step 3: Documents – Upload your files.
Step 4: Signature/Mark-Up – Drag and drop your signature fields onto the page.
Step 5: Review & Sending – Do a final check and send it out!
💡 Tip: A green check mark (✅) will appear next to each step as you finish it. You can click Save Draft at any point once your packet has a name.
⚙️ Yes! If you have administrator privileges, you can create a packet on behalf of someone else. During Step 1 (Setup), simply use the dropdown menu to choose which user you are creating the packet for.
✅ Yes. Attaching a transaction is completely optional. In Step 1 (Setup), the default setting is "No" for attaching a transaction. (Note: If your account does not use FinancialBAY, you won't see this question at all).
📄 PDF only. You can upload PDF files up to 100MB each from your computer. If a file is already stored inside our system, it can be larger than 100MB.
🔗 Yes. If your packet is tied to a transaction, go to the Documents step, click Choose From Files, and select Transaction Documents. You can easily filter these by Buyer or Seller side.
📋 Yes. If your packet is attached to a transaction that has an active Buyer/Seller checklist, a Checklist Item column will appear during the Documents step. You can use this to match your files directly to checklist requirements.
👤 No. When adding people to a packet, you can search your existing Contacts, Past Recipients, system Users, or Transaction contacts. However, you can also type in a brand-new person on the fly using the Create Recipient option.
Bonus: Check the "Add to My Contacts" box if you'd like to save them for future use!
You can have up to 10 recipients total per packet. At least one of those recipients must be designated as a Signer.
Label tags tell you exactly where that person's information was pulled from (e.g., an existing Contact record or a User profile). Because this information is linked directly to their official record, you cannot edit their details inside the packet. To change their information, you must update their main profile or use the Create Recipient option to type it in fresh.
📧 Email Reminders: Yes! In the Recipients step, use the Email Reminders dropdown. You can set them to go out automatically anywhere from every 12 hours to every 5 days (the default is every 2 days). Reminders only go to people who still need to sign. 📱 Text Reminders: Yes! There is a Text Reminders toggle switch that you can turn on. Note: Text reminders can only be turned on if Email Reminders are also enabled.
Yes, everyone stays in the loop automatically:
Signers: As soon as they finish signing, they can download the completed documents right from the success page as a single PDF or a ZIP file.
CC – Receives Copy: These recipients automatically get an email with the final signed documents attached as soon as everyone completes the packet.
CC – Notification Only: These recipients get an email letting them know the packet is complete, but no files are attached.
🚫 No. Once a packet leaves the "Draft" stage, the document text and signature fields cannot be altered. However, for completed packets, you can still log in to View Documents, check the History log, Duplicate the packet to start a fresh copy, or download the Completion Certificate.
