COMING SOON: Creating Email Marketing Campaigns

In real estate, lead generation is only half the battle, the real magic happens in the nurture. While social media algorithms change overnight and cold calls often end in voicemails, email marketing remains one of the few channels where you own your audience and enjoy a direct line to their inbox.


Whether you are staying top-of-mind with past clients, educating first-time buyers, or automatically guiding new leads through a home-buying journey, targeted email campaigns allow real estate agents to build trust at scale. Instead of manually reaching out to hundreds of contacts, automated email sequences deliver the right message at the exact right moment, keeping your pipeline warm and your calendar booked with minimal daily effort. This is why in your Back At You Office, we offer two types of email campaigns you can utilize: Broadcasts and Automations.


โš™๏ธ How to Set Up Your Broadcast Campaign

Broadcasts: This type of campaign is best utilized for one-off email campaigns sent to a specific recipient list, without any recurring automation. 


1.Open the Campaign Manager: Locate the campaign builder.

In your left navigation menu, go to Email Campaigns (NEW) and select Campaign Manager.

2.Create a New Broadcast: Start a new one-time email.

Select Broadcasts from the options, then click the + Create Campaign button.

3.Name Your Broadcast: Name your campaign for internal tracking.

Enter a descriptive name for your campaign so you can easily identify it in your dashboard later.

4.Add an Email Event: Select or build your email design.

Click Add Email Event โœ‰๏ธ. Choose your layout from My Designs, pick a pre-made template from the Template Library, or start building from Scratch.

5.Add Subject Line and Preview Text: Set up your email header.

Type in a compelling Subject Line and Preview Text in the email header controls to grab your recipients' attention in their inbox.

6.Preview and Test Your Email: Send a test version before launch.

Click Preview & Test ๐Ÿงช to send a sample email with test variables to your own inbox. Verify that all links, images, and formatting look correct.

7.Schedule Your Launch Date and Time: Set your send schedule.

Click Next โžก๏ธ to set the exact date and time you want your email broadcast to go out.

8.Customize Your 'From' Sender Info: Optional step.

If needed, override the default From Name and From Email Address to send this specific email from a custom address or title.

9.Add Your Recipients: Choose who receives your message.

Select specific contacts from your database or use Contact Tags ๐Ÿท๏ธ to automatically add tagged groups of contacts to your recipient list.

โš™๏ธ How to Set Up An Automations Campaign

Automations: Easily send a series of emails out to your contacts and leads. Use your own, company created or Back At You created campaigns to keep in contact.
๐Ÿš€ Step 1: Create Your Campaign

To start building your strategy, navigate to Email Campaigns on the left-hand menu and select Campaign Manager. ๐Ÿ–ฅ๏ธ

  1. Initialize: Click the +Campaign icon in the upper right-hand corner. โž•
  2. Name & Select: Give your campaign a clear title and select the first piece of content you want to send. ๐Ÿท๏ธ

  3. Subject Line: Fill out a compelling email subject line. โœ๏ธ

  4. Scheduling (Send Using): Choose the logic for when this email should be delivered: ๐Ÿ“…

    • Date: A specific calendar day.

    • Month: A selected month of the year.

    • Holiday/Birthday: Automatically triggers on the recipient's special day.

    • Interval: Sends a set number of days after a person is added to the campaign (perfect for "New Lead" follow-ups).

    • Day of the Week: A recurring day (e.g., every Monday).

    • Transaction Date: Based on a buyer/seller closing date from your CRM.

  5. Sender Info: Use the Override fields if you want the "From" name or email to be different from your default profile. ๐Ÿ‘ค

  6. Time: Choose a Send After Time. If left blank, the system defaults to midnight. ๐Ÿ•›

โœจ Multi-Event Tip: To build a sequence, open your campaign and click the +Event icon to add a second, third, or fourth email. Repeat the scheduling steps for each!

๐Ÿ‘ฅ Step 2: Add Recipients

Once the campaign is built, you need to tell the system who should receive it.
  1. Open the Campaign: Select your campaign from the main Dashboard.

  2. Add People: Click the +Recipients icon in the upper right. ๐Ÿ‘คโž•

  3. Filter & Select: Choose recipients from your CRM Contacts or select entire Contact Types (e.g., all "Warm Leads").

  4. Finalize: Click Finish. These contacts are now enrolled! โœ…

๐Ÿ“Š Step 3: Track Your Statistics

Knowledge is power! Keep track of your performance through the main Campaign Dashboard. ๐Ÿ“‰
  • Quick Stats: View how many times a campaign has been Sent, Viewed, and Clicked at a glance.

  • Detailed Analytics: Click into a specific campaign to see:

    • Recipient Activity: See exactly who opened the email. ๐Ÿ‘๏ธ

    • Event Activity: Compare which emails in a sequence are performing best.

    • Unsubscribes: Monitor who has placed themselves on your "Do Not Send" list to maintain a healthy database. ๐Ÿšซ
