Creating Company Calendars

You can create calendars for the company in the ClientBAY platform.
This is a great tool to use to remind agents of upcoming events in the office, like Sales Meetings, CE Classes, etc.

Select your Settings icon in the upper right hand corner of ClientBAY.
Select Company Calendar under the General section. On this dashboard, you will be able to create, access and manage your company calendars.
If you have multiple calendars, you will be able to toggle between them by using the Calendar drop down menu.

There are two types of calendars that you can create:

Event Calendar - will alert your agents of events happening within your company.
Sign Up Calendar - will let staff and agents RSVP to those events that are happening.

How to add a new calendar

Select the +Calendar button in the upper right hand corner.
This will pop open a window where you can start designating the functionalities of the new calendar.
  1. Fill in the name, and any needed description.
  2. If it is a default calendar, this needs to be designated on this screen.
  3. You also need to designate if this calendar is moderated by any, and if so, by whom. This means that if someone adds an event to the calendar, the moderator will have to approve it before it shows up on the calendar for the users of the calendar to see.
  4. You can also dictate the Access Level of this calendar meaning who you want to see this calendar.
  5. Under the Type is where you will designate if it is an Event Calendar or a Sign Up Calendar.
  6. You can say if this calendar is for certain Offices or Agents as well.
  7. Once this screen is filled out, press Finish and you will then be taken back to the main Company Calendar and you can now see that newly created calendar in the drop down calendar menu.

How to add an event to a calendar

  1. Make sure you have that calendar selected in the drop down menu, then select the +Event button in the upper right hand corner.
  2. Fill out the details of the event you are creating and whether you want reminders sent out about the event and press Next.
  3. The next screen will be a summary of the details.
  4. Select either Finish or Finish and Notify. If you press Finish and Notify it is going to notify every agent in your office of that event, via email.
  5. If there is a moderator attached to this calendar, they will get an email about the event and they will have a chance to review and approve it before it shows up for the agents to see.

If it is a sign-up event, you will be able to see if any agents have RSVP'd for the event when you select that event on the calendar.

Every event on a sign up calendar will also get a check in page with a code to sign up for the event.

InfoBONUS: On your Main ClientBAY Dashboard, all of the calendar events will populate under the To Do gauge for those who have access to the calendar to see.

How to delete a calendar

  1. On the Calendar Dashboard, make sure you have selected the calendar you wish to delete in the drop down menu.
  2. Select the Delete icon in the upper right hand corner.
  3. The system will ask you to verify if you want to delete this calendar.
